Count

A stocktake by phone, with nothing to buy

The phone in your pocket is the scanner. A USB scanner at the till and a Bluetooth scanner both work too, and you can still type a SKU when the barcode has worn off.

  • Three scan modes, so a quick increment count, a careful recount and a fresh count all behave the way you expect.
  • Count one vendor, one tag, one collection or one shelf instead of the whole store at once.
  • Scan something outside that filter and Binly adds it and flags it, so nothing is missed in silence.
  • A live list of what is still not counted, and nothing reaches Shopify until you review and approve it.

Several phones can scan into the same session, so two people can work opposite ends of the shop.

Nobody finishes a 70,000 line count in one sitting, so Binly does not ask you to. You take a section, finish it, and the progress waits for you.

Buy

Purchase orders that survive a short delivery

Half the boxes turn up, the rest follow next week. Binly receives what arrived, keeps the backorder open, and prices each delivery separately.

  • Partial receiving, with freight, duty and discounts spread across the lines as landed cost.
  • An order by date built from the median of your own supplier lead times, not a generic 14 day guess.
  • Supplier minimums, case sizes and cover days applied to every suggested quantity.
  • Reorder suggestions read your full sales history, not only the last 2,000 orders.

The order by date is the last day an order can leave and still land before the shelf empties. The maths sits on the screen, so you can argue with it.

Labels

Labels come off the order you just received

Receive 106 units and the label queue already knows about them. Pick a template, choose whether price and SKU show, print from the browser.

  • Dymo thermal templates print one label per page, Avery sheets print 30 to a page.
  • No driver and no extra software. It is your browser print dialog and your label printer.
  • Export the same list to CSV if your printer software wants a file instead.

Products with no barcode get one generated, so the next stocktake can scan them.

Suppliers and costs

Know what you pay, and what you owe

Inventory value, sales velocity and the items about to run dry, on one screen you can open before a supplier call.

  • Paste your supplier notes and Binly turns MOQ, case sizes, lead times and payment terms into fields it actually uses.
  • Upload a price list and Binly shows what changed since the last one, and where you paid above it.
  • Cost changes are flagged from your own records: this order costs 10 percent more than the last one, and here is the dollar figure.
  • Payables show due dates and early pay savings before the deadline passes, plus a month end COGS export for QuickBooks and Xero.

Weighted average cost is built from the deliveries you receive in Binly, so it reflects what you paid rather than a number typed in once.

Hey, my stocktake is not syncing to Shopify after I hit apply. It says success but the quantities are not updating on my end.

Hi Jamie, this happens when your Shopify session token expires mid count. Fix is pushed in v1.2.1. Refresh and try again, and if it still will not sync, send me the stocktake ID and I will replay it from our side.

FAQ

The questions we get asked

Do I need a barcode scanner?

No. The phone in your pocket does the job. A USB or Bluetooth scanner works too, and so does typing the SKU by hand when the barcode has worn off.

Does anything change in my Shopify store on its own?

No. Counts, imports and cost updates all wait for you. You review the numbers, then press apply, and only then does Shopify move.

I am coming from Stocky. What happens to my purchase orders?

Send us your Stocky export and we bring the purchase orders, the cost you ordered at, the received and partly received status, and the supplier names across, matched to your Shopify products. It is free while the export window is open, which closes around 30 November.

How big a catalog can Binly handle?

We have run counts and cost recalculations against a store with 73,893 variants. Starter is capped at 500 products because most single location shops sit well under that; Pro has no cap.

Does Binly do demand forecasting?

Not the statistical kind, and we would rather say so here than after you have paid. Binly reorders from your real sales and your real supplier lead times. If you need open to buy planning or seasonal forecasting models, we are not the right tool.

What does support actually look like?

Email us and the person who wrote the code replies, usually within four hours on a working day. Replies also show up inside the app, so you do not have to dig through your inbox.
